What Paperwork Do You Need to Sell Beef Shares? A Farmer's Checklist

To sell beef shares you need five documents: a written share agreement, a deposit invoice, a signed cut sheet, a pickup confirmation, and a records file you can actually find a year later. In most US states a bulk beef sale is legal because the buyer owns a live animal share before slaughter, which is why the agreement has to be signed before the drop off date rather than at pickup. Why is beef share paperwork a legal requirement rather than admin?

Custom exempt processing lets an animal be slaughtered and cut without a USDA inspector present, on the condition that the meat goes to the people who owned the animal while it was alive. The paperwork is what proves that ownership transferred at the right moment. Without it you are not a farmer selling a share, you are a retailer selling uninspected meat.

That is the whole reason the sequence matters. Agreement and deposit first, then the processor slot, then slaughter, then the balance, then pickup. Selling the share after the animal is already hanging inverts the order that makes the exemption work.

Rules vary by state, and some states add their own licensing on top. Check with your state department of agriculture before your first season, not after.

What belongs in the beef share agreement?

Keep it plain enough that a customer reads it. At minimum it needs the buyer's name and contact details, the share size, your price per hanging pound, whether processing is included or billed separately by the butcher, the deposit amount and that it is non refundable, an estimated hanging weight range rather than a fixed figure, the cut sheet deadline, the pickup window and location, and what happens if the buyer does not collect.

That last clause is the one most farms skip and most farms eventually need. Say plainly how many days you will hold the meat and what happens after.

Why does the cut sheet cause the most disputes?

Because it is the only document where the customer makes decisions they do not understand. A first time buyer does not know that asking for boneless everything reduces their take home weight, or that ground beef packed in one pound tubes fills a freezer differently than two pound tubes.

Fix it with three things: a deadline that is at least two weeks before drop off, a default option for buyers who do not respond, and a short explainer that says in plain words what each choice costs them in pounds. A cut sheet returned late is a processor rescheduling fee, and that fee always lands on you.

How long should you keep beef share records?

Keep signed agreements, deposit and final invoices, cut sheets, processor paperwork and pickup confirmations for at least three years, and longer if your state says so. Store them by season and by animal, not by customer name, because that is how an inspector will ask for them.

A simple folder per animal with the agreement, the processor ticket and the invoices inside is enough. What fails audits is not bad filing, it is no filing.
